Positions:
Executive Assistant
Definition:
Under general supervision
of the President,
performs, coordinates and oversees technical and office
administrative duties in support of the President,
and Management
staff, including the provision of varied and complex
office duties; may supervise clerical and other support
staff, and perform other duties as assigned.
Other

Class Characteristics:
This is a single-position
classification. It is distinguished from other administrative
support classes in that the position provides highly
sensitive support to the President.
Responsibilities require the exercise of independent
judgment, technical knowledge of the specific area
of assignment and of overall Company
and Client activities.
Examples of Key
Duties: (Duties

may vary.)
- Perform a wide variety
of executive secretarial and administrative duties
as required by daily operations in the President’s
office.
- Represent the Company
to the public, businesses, Clients,
Customers and others at the request of the President.
- Coordinate office
activities and schedules; develop and recommend
office procedures and systems; ensure smooth office
operations.
- Review and summarize miscellaneous
reports and documents; prepare background documents
as necessary.
- Research and analyze routine administrative
projects for the President
and Managers; prepare first draft reports
on routine administrative matters.
- Receive and distribute incoming
mail; review and evaluate mail to identify those
items requiring priority attention of the President.
- Process payment of invoices
and other banking related matters including check
book reconciliation and financial reporting.
- Provide follow up to assignments
given to Management Staff
by the President;
provide status reports to the President.
- Receive and screen communications
to the President
including telephone calls and e-mail messages, and
provide assistance using independent judgment to
determine those requiring priority attention; prioritize,
channel, and facilitate communication from department
heads, Clients
and Customers through the President’s
office.
- Independently respond to letters
and general correspondence of a routine nature;
- Make travel arrangements for the President
and Managers;
maintain appointment schedules and calendars for
the President;
arrange meetings and conferences.
- Attend Management, Client
Board and Client Committee and other meetings
and take minutes, as directed by the President.
Qualifications:
Education and Experience:
Equivalent to completion of four
(4) years of college-level coursework in
business or a field related to the work and five
(5) years of office administrative, supervisory
or lead experience in the area of assignment; or
an equivalent combination of education and experience
sufficient to successfully perform the essential
duties of the job as listed above.
Physical
Requirements and Working Conditions:
Must
possess mobility to work in a standard office setting
and to use standard office equipment, including
a computer, and to attend meetings at various sites
within and away from the City; strength to lift
and carry materials weighing up to 10 pounds; vision
to read printed materials and a computer screen;
and hearing and speech to communicate in person
and over the telephone.

Director of Accounting
Minimum
5 years accounting experience in a community association management
company. Requires an exacting
Multi-site Community Manager
Minimum
five years experience in the local condominium management market.
Thorough knowledge of the Illinois Condominium Property Act, the
Illinois Not-For-Profit Corporation Act, interpreting Balance Sheets
and Income Statements, researching and assembling annual budgets
and financial forecasts including the integration of reserve studies
into annual budgets required.
Proven
ability to bid, manage and control minor and major building and
grounds renovation projects; perform weekly inspections of managed
Communities; write comprehensive management and other reports; provide
Boards of Directors with innovative ideas and solutions; interact
well with Board Members, Owners, professional advisors, contractors

Other
requirements include high personal moral standards; unquestionable
personal integrity; attendance at night-time Board meetings; the
ability to speak in public; remain objective on issues of debate;

Bachelor's
Degree required, Master's Degree preferred. Preference also given
to those certified as CPM, ARM, CMCA, PCAM.

Customer Care Administrative Assistant
Minimum
three years experience in a successful customer service environment
or call center. Exceptional knowledge of the various components
of Microsoft Office XP Professional.
An
always friendly and helpful professional attitude and a keen interest

A
pleasant and soothing telephone voice. Ability to handle repeated
telephone calls in a most professional manner and treat each caller

An
ability to 'WOW' our Customers and provide them with the very best

Ability

to compose correspondence and accurately process 75 words per minute.

Educational preferences include an Associates degree or equivalent

Staff Accountant
Minimum
3 years accounting experience in a community association management.
Requires an exacting attention to detail, familiarity with property-based
accrual accounting systems - specifically, Skyline v3.6 or Skyline
II experience required - and thorough understanding of fund accounting
and automated payroll systems. Lotus and Excel familiarity should
be second-nature, and familiarity with Windows 98 and Microsoft
Office 2000 Professional a must.
You
will be required to maintain strict time lines in producing accurate
and timely financial reports, accurate data entry of invoices, tracking
of major capital projects and contract pay-outs, maintenance of
journal entries and processing payables checks. Should be prepared
to reconcile numerous bank statements and close the financial periods
of multiple properties per month on schedule.
Other
duties include researching investment products, maintaining close
working relationships with Board Treasurers, banks, independent
auditors and financial planners, and coordinating work with accounting
staff. Familiarity with training of inexperienced Board members
in principles of accounting a plus. Close interaction with Clients
is a daily routine that must be handled with the utmost of care,
consideration and understanding. Other requirements include high
personal moral standards and unquestionable personal integrity.
